tips & tricks>Daylite> schedule multi-user appointments with ease Avoid conflicts and lose the back-and-forth yelling of 'Hey can you make this meeting if I schedule it for Tuesday?'
Some of my clients have been finding out the hard way that they're double-booking their staff, because they didn't know how to quickly see their availability.
So I thought I'd share with you the magic that is the Schedule button!
You all know how to invite other Daylite users to your Appointment, let's take it one step further and verify that those guys can attend before we invite them.
Step 1 (just in case you don't know how to invite Daylite users!): click the Link User icon [see screenshot to the right], select the staff member who you want to attend your Appointment, click OK.
repeat Step 1 as necessary to link other users.
Step 2: click the Schedule button [see screenshot to the right]
Now take a look at the Schedule screenshot below: notice the light blue bar in Aimee's row, overlapping my desired Appointment time. I can see she's got something scheduled during that time so she's not available at the time I want to have my Appointment.
I can visually scan the rest of the day and see when we're both available (1pm looks good) and move my Appointment to that time…just change the times in the fields at the top! If we don't have matching openings on the desired day, I can easily change the date by clicking on the calendar at the left. Once I've found some matching time that we have available, I click OK and that changes the Appointment to the new date and time. Now you're back at the Appointment screen: click OK to confirm and Aimee will receive an invitation to my Appointment, which she can Accept or Decline.
Put this procedure in place and never double-book your staff again, they'll love you for it!
